About the Role

The ideal candidate is a proactive, motivated professional who possesses strong organizational and multi-tasking skills. This person has excellent attention to detail along with outstanding service-orientation, mature judgment, and independent problem-solving. S/he will be highly collaborative with a strong work ethic and the capacity to prioritize in a deadline-driven environment.

Responsibilities

Duties will include, but are not limited to:
  • Complex and proactive global calendar management
  • Coordinate logistics for internal and external meetings or events (including departmental meetings)
  • Domestic and International travel arrangements
  • Processing expense reimbursements and other expense items
  • Invoice Processing
  • Detailed materials preparation in Word, Excel, PowerPoint, Teams, OneNote, and other internal systems
  • Distribution list management
  • Assist in New Employee Onboarding set ups
  • Team player - cross coverage and back up support across admin team
  • Ability to collaborate effectively with colleagues, including sensitivity and responsiveness to cultural differences
  • Perpetuates Wellington culture
  • Other duties and small projects as assigned
Qualifications
  • Undergraduate degree preferred
  • Minimum 3 - 5 years of experience in a complex, global professional environment; experience in investment management or professional services industries will be viewed favorably
  • Impeccable organization
  • Detail-oriented
  • Resourceful and adaptable
  • Ability to work independently, and as part of a team
  • Ability to collaborate effectively with colleagues, including sensitivity and responsiveness to cultural differences
  • Outstanding interpersonal and communication skills - expresses information and ideas clearly and concisely in writing and in person. Shares relevant information with appropriate parties, providing sufficient context and consideration of confidentiality
  • High level of reliability, professionalism, and discretion
  • Ability to calmly work under deadlines and to accommodate last-minutes changes
  • Proficiency in MS Office (Word, Excel, Outlook, OneNote & PowerPoint) with an ability and desire to learn new technology to drive efficiencies
