About the Role
The Executive Assistant will provide administrative support to the Corporate Access & Research Services team, part of the COO Group of the Investment Platform. This role will directly support the Director of CARS, coordinate the team's global activities, and service as the key liaison for the firm's global broker community. This individual will be strongly integrated into the team's daily operations including, but not limited to regularly participating in team meetings, providing suggestions for efficiencies, and being a team ambassador for the CARS team to other Assistants across the firm. The ideal candidate will possess strong organizational, multi-tasking skills and excellent attention to detail along with outstanding service-orientation, mature judgment, and diplomacy. They will be a team player with a strong work ethic and the capacity to prioritize in a deadline-driven environment.

Responsibilities
The Executive Assistant will manage the overall daily support needs of the team, including:
- Complex and proactive calendar management across time zones in a global team
- Coordinate logistics for internal and external meetings and events
- Develop and maintain strong collaborative relationships with multiple internal and external constituencies
- Daily monitoring of the global team inbox, and maintaining the weekly events calendar
- Be an ambassador for the CARS team to other Assistants across the firm by being the first line of defense for any internal CorpAxe queries/troubleshooting
- Advanced proficiency in MS Office (Word, Excel, Outlook, OneNote & PowerPoint) with an ability and desire to learn new technology to drive efficiencies
- Willingness to learn, use and help develop internal systems that help the function (e.g. CorpAxe)
- Schedule domestic and international travel arrangements
- Conduct research and generate various reports using internal and external information systems
- Handle daily mail, filing systems, expense tracking and reporting
- Provide cross-coverage and back-up support to other Assistants in the COO Group
- Assist with ad hoc project work, as required, within immediate team and broader COO Group functions
- Minimum of 3 years' experience within an administrative role in a professional services organization
- Experience in the investment management industry will be viewed favorably
- Outstanding interpersonal and communication skills, plus high level of reliability, professionalism, and discretion
- Strong service orientation and proactive problem-solving skills
- Excellent organizational, multi-tasking, and prioritization abilities
- Fastidious detail orientation and overall work quality
- Ability to work under deadlines and to accommodate last-minutes changes
- Positive, can-do attitude; sense of humor
- Flexibility to work a varied schedule, both onsite and remotely, depending on business and operational needs
