About the Role
Wellington Management seeks a Floater Administrative or Executive Assistant who will provide coverage for colleagues who are out of the office (whether planned vacation time or unexpected absences), peak workload periods, open positions, or special projects. The Floater will provide coverage for the firm's client facing divisions (Client Group, Investment Product & Fund Strategies, and Client Platform Management).
Specific responsibilities include:
•Meeting coordination including Outlook meeting requests, conference room booking, security clearance, catering
•Proactive calendar management
•Database maintenance, including capturing contact information and meeting activity in Salesforce
•Presentation preparation including editing, collating and distributing materials
•Assistance with preparation and distribution of monthly and quarterly client reporting materials, using various internal data systems
•Assistance with a variety of department and team projects
•Diligent coverage of telephone lines
•Travel coordination including itinerary, transportation, hotel
•Strong interpersonal, verbal, and written communication skills
•Strong service orientation; reliable, consistent, proactive
•Ability to work in a fast-paced and team-oriented environment, prioritizing effectively
•Attention to detail and proficiency with Microsoft Outlook, Excel, and Word
•Solid work ethic and positive attitude
•Ability to use good business judgement and maintain confidentiality
